With an existing part, send more than the marking
Provide the full manufacturer ordering code, suffix and current datasheet. Top marking may not uniquely identify supply, temperature, packing or pin function. Images help, but should not replace ordering information.
Without a part number, structure the parameters
For a crystal, state frequency, CL, ESR, temperature, tolerance and package. For an active source, add supply, signaling, jitter, load and enable behavior. Write special frequencies with units and required precision.
Submit purchasing conditions alongside specifications
State sample and production quantities, target delivery, packing, lot and document requirements. Distinguish nominated brands, acceptable alternatives and fixed requirements to separate original-brand sourcing from replacement assessment.
What the quotation record should retain
Retain the quoted part, specification revision, quantity breaks, minimum order, delivery conditions and validity. Mark missing information explicitly; a reference quotation is not an engineering approval.
