Keep samples identifiable
Record manufacturer, full code, specification revision, quantity and label at receipt. For programmable or special-frequency devices, also confirm configuration and ordering identity. Appearance alone does not establish the same settings.
Define the scope of the test result
Retain board and software revisions, operating conditions and tests. Separate passed, untested and pending items, particularly where temperature, start-up or production conditions differ from the sample exercise.
Lock the critical production terms
Confirm the approved code, key suffixes, package, packing orientation, volume, delivery and documents. Ensure quotation and order refer to the same specification instead of relying on an informal reference to a previous sample.
Maintain a route for changes
Agree how changes to revision, packing, manufacturer or key parameters are communicated and reviewed. Preserve approval and revision history so differences in later lots can be investigated efficiently.
